Development / Administrative Assistant


Working in collaboration with the Provincial Director, the Development / Administrative Assistant solicits and secures support from companies, employee groups, associations, service clubs and individuals to meet annual revenue goals and manages the day-to-day financial administration of the chapter in accordance with the Foundation’s financial management policies and procedures.

 Primary Responsibilities:

 Development:

-Prospects, cultivates, solicits and secures new fund development opportunities with a focus on engaging support from the corporate sector at a community and Provincial level
-Cultivates and stewards relationships with existing donors, sponsors and community event organizers
-Works with existing and identifying new volunteers to increase and develop sub-chapters in the service area of the Manitoba & Nunavut chapter office
-Collaborates with the Development Team / Wish Coordinator on the planning and execution of partnership and community events
-Monitors external markets to identify new partnership opportunities and engage in new business development
-In collaboration with the Provincial Director, develops, prepares and presents proposals and negotiates mutually beneficial partnerships
-Represents Children’s Wish at various meetings and fundraising events when required acting as a spokesperson for Children’s Wish, participating as a guest or developing and delivering presentations
-Ensures all events follow relevant Children’s Wish Policies and Procedures
-Creates and generates reports and ensures all reporting is up-to-date
-Works in collaboration with the Wish Coordinator to identify appropriate Wish Families for event participation
-Adhere to Imagine Canada’s Ethical Code.

 Administrative:

-Acts as front line staff for the office (answering phones, redirecting inquiries, etc.)
-General office administrative tasks such as mail, courier, petty cash, ordering supplies
-Assists with Raiser’s Edge data entry and creates and generates data for reports and ensures all reporting is up-to-date.
-Maintains and manages inventory of fundraising related materials and send out materials to stakeholders as appropriate.
-Counts incoming cash donations from all chapter sources including 1st and 3rd party events, personal donations, etc.
-Prepares deposits for data entry and receipt lists for distribution.
-Manages the processing of all chapter credit card donations made to the Foundation.
-Prepares a variety of letters related to donations.
-Prepares donor information and issues credit card deposits for National Office data entry.
-Responds to inquiries regarding all aspects of donations to Children’s Wish from credit card companies.
-Manages the donation process and tax receipting effectively during peak times for the chapter.
-Manages the tax receipt process in keeping with Foundation Policies and Procedures and CRA guidelines.
-Performs accounts payable transactions in keeping with Foundation financial policies.
-Manages petty cash fund and issues cheques in accordance with Foundation signing authority policy.
-Ensures purchase orders are issued in accordance with Foundation policies.
-Utilizes strong administrative and computer skills to complete all administrative and data management tasks associated with accounts payable on a timely basis.
-Creates and generates data for reports and ensures all reporting is up-to-date.
-Prepares cash and cheque donations for bank deposits.
-Maintains all financial records in accordance with Foundation policies and procedures and CRA guidelines.
-Ensures all month-end, year-end, and budget preparation and reconciliation reporting is kept up to date and accurate.

Qualifications

You bring 3 to 5 years’ experience supporting/managing development initiatives with high energy, and a results-driven attitude to The Children’s Wish Foundation, Manitoba & Nunavut Chapter office.  An effective communicator and presenter, you pro-actively promote the foundation in the community and cultivate relationships with existing donors and sponsors.  You consistently demonstrate sound judgment, high integrity, and an ability to cultivate and build positive lasting relationships with new prospects, turning new prospects into revenue generation for the Manitoba & Nunavut chapter office.

You are resourceful, creative and a collaborative team player that works to identify opportunities for development and growth in fund development.  You have experience working with MS Word, Excel, E-mail, PowerPoint and familiarity with Raiser’s Edge.

Valid driver’s license and access to a reliable vehicle is a requirement for this position.
